Clubs.LD is a digital club management platform operated by Loop Design ABN 17 150 776 741, based in Tasmania, Australia. This policy explains how we collect, use, store and protect personal information across the Clubs.LD platform and all club websites hosted on it.

3. How We Use Your Information
We use personal information to:
- Provide and maintain the Platform and club services
- Process bookings, memberships and transactions
- Deliver messages between you and your club
- Send service-related communications (booking confirmations, membership updates)
- Improve the Platform and develop new features
- Comply with legal obligations
We do not sell personal information to third parties. We do not send marketing emails unless you have opted in.
4. Data Sharing
We share personal information only in these circumstances:
- With your club: Club Administrators can access member data, booking records, enquiries and other information relevant to their club’s operations. Each club is responsible for how it handles this data.
- With Stripe: Payment processing is handled by Stripe. We share the minimum information necessary to process transactions.
- With Supabase: Our database infrastructure is provided by Supabase. Data is stored securely in accordance with their security practices.
- As required by law: We may disclose information where required by Australian law or court order.
5. Payment Data
Clubs.LD does not store credit card numbers, CVVs or other payment card credentials. All payment processing is handled by Stripe, a PCI DSS Level 1 certified payment processor. We store only payment references (transaction IDs) to link payments to your profile for record-keeping.
6. Data Storage and Security
Personal information is stored on secure servers provided by Supabase. We implement industry-standard security measures including:
- Encryption in transit (TLS/SSL) and at rest
- Row-level security policies restricting data access by user role
- Regular access reviews
- Secure authentication with session management
While we take reasonable steps to protect your information, no system is completely secure. We encourage you to keep your login credentials confidential and notify us of any suspected unauthorised access.
7. Access Roles and Visibility
The Platform uses a role-based access system. Your visibility into other users’ information depends on your role:
- Visitors can view public club content only.
- Registered users can access their own profile, bookings and enquiries. They cannot see other users’ data.
- Club members can access member-level content and their own records. They cannot see other members’ personal details.
- Club Administrators can view and manage member data, bookings and enquiries for their club only.
8. Cookies
We use essential cookies to maintain your session and keep you logged in. We do not use tracking cookies or third-party advertising cookies. Analytics data is collected in aggregate and does not use cookies to track individual users across sessions.
9. Your Rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or out-of-date information
- Request deletion of your personal information, subject to any legal obligations we have to retain it
- Withdraw consent for optional communications at any time
- Lodge a complaint with the Office of the Australian Information Commissioner if you believe your privacy has been breached

10. Children’s Privacy
The Platform is not directed at children under 16. We do not knowingly collect personal information from children under 16 without parental or guardian consent. If you become aware that a child has provided us with personal information, please contact us so we can take appropriate action.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email to registered users at least 14 days before taking effect. The “Last updated” date at the top of this page indicates when this policy was last revised.
